the challenge
the leaks were already there.
Enquiries did not always progress to a venue viewing.
Prospects could lose momentum while considering their options.
Viewing confirmations and reminders required manual administration.
Leads who were not ready to book immediately could fall out of the journey.
Different types of prospects received the same follow-up, regardless of behaviour.
Driving more traffic into this process would have increased enquiries, but it would not have solved the underlying conversion problem. The priority was to improve the value generated from existing traffic.
the strategy
three principles.
01
make the next step clear.
The initial enquiry journey was structured to encourage suitable prospects to book a venue viewing. Rather than leaving the next step open-ended, communication directed prospects towards a specific action and made the viewing process easier to manage.
02
remove manual follow-up.
Venue-viewing confirmations and reminders were automated through the CRM. This gave prospective customers clearer communication while reducing the administrative burden on the venue team and reducing the risk of missed appointments.
03
nurture based on behaviour.
Not every prospect was ready to book a viewing immediately. Rather than allowing these enquiries to go cold, Blueprint created targeted nurture sequences. A six-email open-day sequence kept the venue visible while the prospect continued making their decision.

the key lesson
more traffic isn't always the answer.
When a business already receives relevant enquiries, the first opportunity is often to identify where prospects are dropping out and improve the system that moves them towards a sale.
Adding more advertising at the outset would have sent additional prospects into a journey where opportunities were still being lost. By improving the conversion system first, Kings Norton Weddings & Events was able to respond more consistently, move more prospects towards a venue viewing and recover bookings that may otherwise have been lost.
For Kings Norton Weddings & Events, fixing those leaks helped increase annual bookings from 8 to 36 without making additional traffic the starting point.

let's fix the leaks.
Generating more leads will not solve the problem if existing enquiries are not being followed up, nurtured and moved towards a clear next step.
